Introduction

Thank you for downloading and installing the JLJ Time Sheet App. This app will track your most valuable asset, your time, in an efficient and easy way.

Once you enter your times, you can send your time sheets to your Employer, Client or Agency, by email in a PDF or you can send it in a raw CSV file.

This app does not need a User Name or Password and does not need to online access, it can work offline. So all your data is secure and you send only the data you, need by email.

                                      


 

Time Sheets View

The time sheets can be viewed by month or week, by tapping on the toggle button. Only day summaries will be shown. Billable times will be shown in “Black” and Non Billable time will be show in “ Red

Entering a New Time Sheet

To create a new entry, tap the ‘ + ” sign, When tapped, the new entry form is opened.

 

Fields

Date: To the date will default to today’s date or if you came from the day screen, it would show the date you were last on. To enter a new date, tap on the date, a popup is brought up, select the date from the popup.

Start Time: The time will default to the current time, to change, tap on the time and popup is brought up, select the time from the popup.

End Time: The time will default to the Start time, to change, tap on the time and popup is brought up, select the time from the popup. This time should be always greater than the start time, if not, you cannot save the record.

Total Hours: This is the actual hours worked, it’s the difference between the Start Time and End time. This is a Read-Only field.

Client: This will default to the “Default Client”. To select another client, just tap on the client, a modal screen will be presented, select the client

Project: This will default to the “Default Project”. To select another Project, just tap on the project, a modal screen will be presented with projects linked to the client selected, select the project.

Tasks: This will default to the “Default Task”. To select another task, just tap on the task, a modal screen will be presented, select the task.

Job Number: Enter a Job number – Not validated, can be blank.

Comments: Enter any comments – Not validated, can be blank.

Billable: Turn on, if you can charge for the time spent. Sometimes you can have a lunch break etc.

Ready to Send : If this is checked, then it will be added to your time sheet that is being sent by email, if it is turned off, then it will not be sent, and will only be a reference for you.

 

Day Detail View

To view details for a day, tap on any day and a day view will be brought up. This would show a break up of hours in detail for a given day. The Times, Client, Project and Task is shown. Billable times will be shown in “Black” and Non Billable time will be show in “ Red ”.

A new entry can also be entered from here, by tapping the “ + ” button. To copy this day to another day tap on the “ ” button.

Filtering Your Time Sheets

To filter the time sheets, tap on the funnel icon.

A filter screen will be brought up to enter your filters.

Tap on “Set Filter” to set the Filter or “Clear Filter” to clear the filter. The filter is always active, even if you exit the app. When a filter is active the funnel icon will be green.

Emailing the Time Sheets

To send you time sheets, tap on the Email button.

When the email button is tapped, the view will give you an option to send all the time sheets you require to be sent. At this point, you can only send time sheets by week or month. Check the week you want to send and a Blue check mark will appear next to the group header. All time sheets that are marked ready to send, will be compiled and sent.

When ready to send the email, tap on the “Send Email” Button, A new email from your default email account will be popped up with an attachment – Attachment can be “PDF” or “CSV” depending on the settings you have.

Important: The email will only work if you have an email account setup.


 

Settings


 

The app can be setup according to your personal requirements.

Employee Code : If you require to enter an employee code, enter it here, this will be sent with your time sheets.

Employee Name: If you require to enter an employee name, enter it here, this will be sent with your time sheets.

Default Email to use : When sending emails, the app will automatically populate this email address as the recipient. If left blank you will have to manually enter this every time you send an email.

Company Name : If you require to enter a company name, enter it here, this will be sent with your time sheets.

Division: If you require to enter a division, enter it here, this will be sent with your time sheets.

First Day of Week : This is required if you are viewing your time sheets by week. It is defaulted to “Monday” but can be set to any day of the week.

Email File Type : The default is “PDF”, if you require the file to be sent a SCV file the select “CSV”. This file can be viewed using Excel.

Report / Export Date Format : You can change the default date format to your region or country.

Convert to Decimal Hours : When times are calculated the difference is the total hours worked. Some times for invoicing purposes it would need to be in decimals and not minutes. For E.G. If your total hours are 7:50, that is 7 hours and 50 Minutes, if this is checked, then the total hours on your time sheet export documents will be 7.83.

To view the App Menu tap on the “ ” button


 

Client Entries

To Add, Modify or delete a Client, tap on “Clients” from the App Menu.

The “Default Client” is created by the App. This client cannot be deleted, but the Client Name can be changed.

To Add a new Client tap on the “+” button or to View/Modify an existing client tap on the client in the list. The Entry screen is brought up.

Enter the client Name and tap on Save, if the client’s name is blank, the record cannot be saved.


 

Project Entries

To Add, Modify or delete a Project, tap on “Projects” from the App Menu.

The “Default Project” is created by the App. This project cannot be deleted, but the Project Name can be changed.

To Add a new Project tap on the “+” button or to View/Modify an existing project tap on the project in the list. The Entry screen is brought up.

Enter the Project, Select a client for this project and tap on Save, if the project name is blank, the record cannot be saved.


Task Entries

To Add, Modify or delete a Task, tap on “Tasks” from the App Menu.

The “Default Task” is created by the App. This task cannot be deleted, but the Task Name can be changed.

To Add a new Task, tap on the “+” button or to View/Modify an existing task, tap on the task in the list. The Entry screen is brought up.

Enter the Task and tap on Save, if the project name is blank, the record cannot be saved.


Database

To delete the time sheets in the System, check “Only Time Sheet Entries”, and then tap reset database. Clients, Projects & Tasks will not be deleted.

To delete the full database check, All Data. This will rest the database as new.

Please use this with caution and make sure you back up your data.
